Frequently Asked Questions

Have questions about booking your magical celebration? You’re in the right place! Here you’ll find answers about our packages, characters, and how we bring fairytales to life for your special day.

👑 Booking & Payment

Q: How do I book a character for my party?

A: To book, fill out our online booking form or contact us directly. A non-refundable deposit is required to reserve your date and time. Once the deposit is received, your event is officially booked!

Q: When is the final payment due?

A: Your balance is due no later than the day before your event unless another agreement is made in writing.

Q: What forms of payment do you accept?

A: We accept Venmo, PayPal, cash (with approval), and invoices via Square or Stripe.

 

✨ Travel & Service Areas

Q: Do you charge for travel?

A: Yes—travel fees apply for locations outside our standard service area. These fees are based on distance and will be confirmed before your booking is finalized.

Q: What happens if my event is far or hard to reach?

A: Please let us know if your venue has stairs, limited parking, or unusual access. If your location becomes unsafe or unreachable, we may need to adjust or cancel the visit.

🌦️ Event Setup & Environment

 

Q: Can I host my party outdoors?

A: Absolutely! However, we require: A shaded, clean, and safe outdoor space WITHOUT mud, standing water or excessive heat. (It is recommended to have a backup indoor location in case of rain, wind, or poor conditions.)

Q: What should the party area be like?

A: The space must be: Smoke-free and alcohol-free. NO dangerous or inappropriate items (intoxicated guests, drugs, aggressive pets, etc.).  Must be safe for performers to comfortably walk, dance, and interact with children.

 

👸 Characters, Costumes & Performer Safety

Q: Will the performer arrive in costume?

A: All performers arrive in-character.

Q: Will the performer stay in character the whole time?

A: Yes! Our performers remain fully in character throughout the event to keep the magic alive.

Q: What are guests NOT allowed to do?

A: For the safety and comfort of our team, GUESTS MAY NOT:

  • Touch or tug costumes or wigs.

  • Do Not Harass or make inappropriate comments to performers, or ask for a performer's personal information. 

  • Do Not Behave in a hostile or disrespectful way.

  • Violation of these rules may result in the performer ending the visit early with NO refund.

 

🎉 Party Details &Time Management

 

Q: What if my party runs late?

A: Your performer will begin and end at the scheduled time. If your party starts late, we can’t guarantee extended time unless pre-approved.

Q: Can I add more time to the visit?

A: Yes—additional time may be purchased in 15-minute increments, if the performer is available. Please ask in advance or as soon as possible. 

Please note: Last-minute or day-of requests may not be available.

 

 

🎈 Guests & Supervision

Q: Do I need to supervise the kids during the visit?

A: Yes! An adult must supervise children at all times. Our performers are entertainers—not babysitters.

 

Q: What if I have a large party?

A: For events with 25 or more guests (including adults and children), a Character Attendant is required to assist with crowd control and ensure performer safety (Character Attendant = $50)

📸 Photos, Social Media & Promotion

 

Q: Can I take pictures or videos during the party?

A: Yes, please! And don’t forget to tag us on social media: @KonaPrincessParties 💕

Q:  Will you post photos from my party?

A:  We will provide a release form in the booking.  With your permission, we may ask to use party photos (without personal information) for promotional purposes. You’re always welcome to decline.

Q: Are there any rules about posting my photos?

A: Yes. Please do not post photos of performers or children in disrespectful, unsafe, or inappropriate situations.

 

🔁 Cancellations, Refunds & Rescheduling

 

Q: Can I cancel or reschedule my party?

A: We understand that plans change. Here's our policy:

  • More than 7 days before the event - You may cancel for a partial refund (deposit is non-refundable).

  • 7 days or less - Your payment is non-refundable, but you may reschedule (subject to availability) with a $35 rebooking fee.

  • Within 24 hours or no-shows - NOT eligible for refund or rescheduling.

Q: What if I book last-minute?
A: Bookings made 7 days or less before an event require a Rushed Booking Fee:

  • $75 for East Hawai‘i
     

  • $100 for West Hawai‘i

 

Q: What if my performer has an emergency?

A: In rare cases, we may substitute your performer with another trained actor in the same character, or offer a different character of equal value. If neither is possible, we’ll work with you to reschedule.

 

🧺 Costumes, Props & Damage

 

Q: What happens if something gets damaged?

A: If a guest causes damage to costumes, wigs, or props, you may be charged for repair or replacement.

 

Q: Can we keep the props or gifts the character brings?

A: Only items specifically gifted (like sticker sheets, coronation crowns, and certificates) may be kept. All performance props must be returned at the end of the visit.

 

 

⚖️ Liability, Safety & Conduct

Q: Are you responsible for accidents or injuries during the party?

A: No. By booking, you agree that Kona Princess Parties is not liable for:

  • Accidents or injuries during the event

  • Allergic reactions to costumes or face paint

  • Damage caused by guests

  • Behavior of unsupervised children

You, as the client, accept full responsibility for all guests and event conditions.

 

 

🔒 Performer Privacy & Brand Use

 

Q: Can I post the performer’s real name or contact info?

A: No. Performer privacy is strictly protected. Do not share real names, photos without makeup, or contact details.

Q: Are your characters affiliated with Disney or other companies?

A: No. Our characters are inspired by classic fairytales. We are not affiliated with Disney, Marvel, or any other trademarked brands.

❤️ Respect & Inclusivity

Q: What kind of environment do you expect?

A: We believe in inclusivity, kindness, and creating magical experiences for everyone. We reserve the right to refuse or cancel services (without refund) in any of the following situations:

  • Harassment or inappropriate behavior

  • Unsafe or unsanitary venues

  • Disrespectful guests Violation of our Terms & Conditions
